File Storage

StorageCIT provides guidance on where to store your files. Keep in mind that private or confidential information should only be stored in locations approved or sanctioned by CIT.

Personal Files

You may save your personal files directly to your computer, but operating system or hard drive failure can lead to data loss and CIT is unable to assist with personal files. We recommend saving personal data to a personally-owned external hard drive or personal cloud storage (such as OneDrive, Google Drive, Dropbox, iCloud or other options).

Personal Work or Course-Related Files

Personal work or course-related files you wish to be kept private should be stored on your Home (H) drive or one of the Cloud Storage options Calvin provides. Files stored in these locations will be lost once the owner no longer has an active Calvin account.

Department Shared Work or Course-Related Files

Work-related and educational files that you need to share with others in your department should be stored on your Department (R) drive, in an Office 365 Group, or in a Sharepoint Team Site. Files stored in these locations are owned by the Department or Team and will not be lost if an employee leaves Calvin.

Collaborative (Team) Work Files

Work and course-related files that you need to share with specific faculty, staff and/or students in other departments should be stored in an Office 365 Group or in a Sharepoint Team Site. Files stored in these locations are owned by the Department or Team and will not be lost if an employee leaves Calvin.

Academic Research Files

Files for current or ongoing academic research projects should be stored on the Research Data network drive. Access to this drive is granted upon request by the HelpDesk.

Files Shared with Students

Files that need to be shared with students should be stored in one of the Cloud Storage options Calvin provides then shared with the specific students. Students can also be added to Office 365 Groups by the Group Owner.

Moodle

  • Semester course files (500MB or less) can be uploaded to Moodle courses by selecting "Add a resource". Because the system is secured, intellectual property used for instruction can be stored in Moodle to help prevent copyright infringement (via the Teach Act).
  • Course files to be used over multiple semesters can be saved to the corresponding Master course.
  • Course files to be used by multiple faculty/sections of the same course should be stored in the Master collaborative course.

Instructors can add files for students to access by clicking "Add a resource" and using the show/hide icon to control visability. 500MB per file (Note: Moodle courses are removed after each semester. Please use a Master or Master collaborative course to save materials that will be reused.)
Master course files Master course files can only be accessed by the faculty teaching a particular course. 500MB per file
Master collaborative files Master collaborative courses and their files within can be accessed by any instructor who has been added to the course. 500MB per file
