File Storage for Faculty & Staff

CIT provides guidance on where to store your files. Keep in mind that you should not store work-related files, Calvin-owned information or student information in locations that are not officially approved or sanctioned by CIT.

Moodle

Personal Files

You may save your personal files to your Calvin computer; however, operating system or hard drive failure can lead to data loss and CIT is unable to assist with personal files. We recommend saving personal data to a personally-owned external hard drive or personal cloud storage (such as OneDrive, Google Drive, Dropbox, iCloud or other options).

Personal Work-Related Files

Personal work or course-related files you wish to be kept private should be stored on your Home (H) drive or one of the Cloud Storage options Calvin provides.

Department Shared Work or Course-Related Files

Work-related and educational files that you need to share with others in your department should be stored on your Department (R) drive, in an Office 365 Group, or in a folder in OneDrive for Business shared with those in your department.

Collaborative (Team) Work Files

Work and course-related files that you need to share with specific faculty and staff in other departments should be stored in a OneDrive for Business folder shared with those you need to collaborate with, or in an Office 365 Group.

Academic Research Files

Files for current or ongoing academic research projects should be stored on the Research Data network drive. Access to this drive is granted upon request by the HelpDesk.

Files Shared with Students

Files that need to be shared with students should be stored in your Calvin Google Drive and shared with the specific students.

Moodle

Moodle Course Files can be uploaded and saved within each Moodle course you teach using the Files resource in the Administration block. Because the system is secured, intellectual property used for instruction can be stored in Moodle to help prevent copyright infringement (via the Teach Act).
If you have course files that will be reused over multiple semesters, you should store them in the appropriate Master Course. You may upload and save files within your Moodle Master Courses using the Files resource in the Administration block.
Curriculum files used by all faculty of a particular course should be stored in the appropriate Master Collaborative Course.

Files are only visible to instructors, but can be opened to students by Add A Resource > Link to a File or Web Site.

Moodle courses will be removed each semester. Please use a Master Course or Master Collaborative Course to save materials that will be reused

Master Course Files Master Course files can only be accessed by the faculty teaching a particular course. 500MB per file
Master Collaborative Course Files Master Collaborative courses and any files contained within can be accessed by all faculty teaching a particular course. 500MB per file
