How do I set up my voicemail box and personal greeting?

  1. To access the CallXpress system, dial 6-6800 or press the VMail button on your phone
    • If you are off-campus, dial 526-6800, press # then enter your 5-digit extension
    • To access your voicemail from an extension other than your own, dial 6-6800 then press * then # then enter your 5-digit extension
  2. Once prompted, enter default security code 3201
  3. Follow prompts to finish setting up your new voicemail box

How do I listen to new voicemail messages?

  • New voice messages will be delivered as an audio file attachment to your Office 365 email and are accessible on any device on which you have access to your Calvin email.
    • You can use Outlook's Preview attachment feature to listen to the file in Outlook, or open the file in your default audio program. To set your default audio program on a PC, go to Start > Default Programs
    • If you plan to share playlists from your default audio program, make sure you're not automatically adding or sharing the voicemail files as they open.
  • If you use the Outlook 2013 client on a PC, CIT recommends installing the AVST CallXpress Unified Messaging add-in for more features
    • With the AVST CallXpress Unified Messaging add-in for Outlook, you can listen to your voicemail message in Outlook, or send your voicemail to your phone to listen from your phone's handset
How do I listen to my voicemail on my phone?
  • Dial 6-6800 or press your VMail button
    • If you are off-campus, call 526-6800, press # then enter your 5-digit extension
  • Enter your security code
  • Press 2 to get voicemail
How do I access my voicemail from another extension?

How can I review or change my personal greeting?
  • Dial 6-6800 or press the VMail button on your phone
    • If you are off-campus, call 526-6800, press # then enter your 5-digit extension
  • Enter your security code
  • Press 5 1 3 to Record Personal Greeting
  • Press 2 to Record your Standard Greeting

How do I set an out of office message?
  • Dial 6-6800 or press the VMail button on your phone
    • If you are off-campus, call 526-6800, press # then enter your 5-digit extension
  • Enter your security code
  • Press 5 1 3 to Record Personal Greeting
  • Press 3 to Record and Set your Out of Office Greeting

How can I change my security code?
  • Dial 6-6800 or press the VMail button on your phone
    • If you are off-campus, call 526-6800, press # then enter your 5-digit extension
  • Enter your security code
  • Press 5 1 4 and enter a new security code followed by the # sign
  • Enter your new security code again followed by the # sign

You can also change your security code using the CallXpress Web PhoneManager

What happens if I forget my security code?

You can reset a forgotten security code using either your 5-digit extension or your email address by following the Forgot Security Code? link on the CallXpress Web PhoneManager login screen. Security Code Reset Instructions will be sent to your Calvin email address.

How do I forward a voicemail to another user?

Since the voicemail message is attached in an email, you can forward a voicemail just as you would any email message. You can type additional comments as needed.

How do I do a message drop?
  • Press Transfer (Trnsfr) on your phone
  • Press the Msg Drop button on your phone or dial 3-3040
  • Enter the voicemail box number you want to transfer the caller to
  • Hang up immediately so that the caller will hear the voicemail greeting

How can I install the AVST CallXpress add-in for Outlook?
  • Calvin PC users using the Outlook 2013 client will already have the AVST CallXpress add-in installed, but if there is an error you can use these instructions to install the AVST CallXpress Unified Messaging add-in for added features in Outlook on Calvin-owned computers
    • Open the Start Menu
    • In the Search programs and files box, type software center
    • Click Software Center from the list to open
    • Under the Available Software tab, check the box next to AVST Outlook Integration and click the Install button
  • If the AVST CallXpress add-in gets disabled you can re-enable it in the Slow and Disabled Add-ins area on the Outlook File menu

Where is my actual AVST CallXpress voicemail message stored?
  • If you use Office 365 for your Calvin email (Outlook), all voicemail will be delivered to your email inbox. The messages are playable from your email or by calling in to the CallXpress system. If the message is deleted from your email inbox, you will no longer be able to listen to the message from your phone.
  • The actual message is stored in your Office 365 email account. Although you can listen to the message on your phone, it is stored in your email.
  • Deleting a message using one method (either phone or email) removes the message from both.
  • You can still access your messages in your Outlook Deleted Items folder until they are deleted from there.
  • If there is not an Office 365 (Outlook) email associated with the phone number, the voicemail will only be available from your phone.
Will my voicemail indicator light still work?
  • Yes, the light will be tied to the new system
Why is there sometimes a delay in the message waiting light changing?
  • There may be a few seconds delay for your voicemail indicator light to go off after listening to your voicemail from your email while the systems sync with each other.
  • Your voicemail indicator light will not go off until you have listened to the message in its entirety and either save, forward, or delete the message.
How can I access my voicemail if I can't get to my Calvin email?
  • You will still be able to access your voicemail through the phone system (See How do I listen to my voicemail on my phone?)
  • If you are unable to access your email due to a system outage, any incoming voicemail will be stored in the voicemail system and delivered once service is restored.
Which email accounts will receive voicemail messages for general office numbers?
  • If you need to set up or make changes to a general office voicemail box, please contact the HelpDesk.
  • Voicemail for general office numbers can go to an email account. However, they can only be associated with one email address.
  • General office numbers do not have to be associated with an email account. Any voicemail box not associated with an email account will only be accessible by using the phone.
Will CIT provide speakers and headphones?
  • Headphones and speakers may be available upon request. Please contact the HelpDesk.
  • PC users of the Outlook 2013 client can also install the AVST CallXpress Unified Messaging add-in and use their handset as a way to hear messages.
How do I set up special call routing?
  • Call routing is when you have your phone routed to another person before the call goes to voicemail.
  • If you want to change or add call routing, please contact the HelpDesk.
