Staff

Leaving Calvin College

  • All technology access is terminated at midnight on the last day of employment or association with the college.
  • e-mail will NOT be forwarded.
  • After 30 calendar days, files will be removed.
Retiring from Calvin College
  • This policy should only extend to those that actually retire from Calvin with full retiree benefits. (Retirement age with at least 10 years of full time service).
  • Retirees are eligible to receive continued access to their GroupWise e-mail account. This will be a one time only opt in/opt out offer at the time of retirement. See HR Retirement Coordinator for form.
  • There will be a yearly renewal process for this access. This process will be coordinated by the HR retirement coordinator.
  • All other technology access is terminated at midnight on the last day of employment or association with the college.
  • After 30 calendar days, files will be removed by CIT.

Faculty

Part-time faculty with contracts ending

  • All technology access is terminated two weeks after the end of the term. This gives faculty time to enter their grades (due 1 week after the end of the term) and clean out their files.
  • e-mail will NOT be forwarded.
  • After 30 calendar days, files will be removed by CIT.
Faculty term appointments ending and resignations
  • All technology access is terminated at the end of their contract. (Usually August 31).
  • e-mail will NOT be forwarded.
  • After 30 calendar days, files will be removed by CIT.

Becoming an Emeriti

  • This policy should only extend to those that are given emeriti status by the Board of Trustees.
  • Emeriti are eligible to receive continued access to their GroupWise e-mail account. This will be a one time only opt in/opt out offer at the time of retirement. See HR Retirement Coordinator for form.
  • Technology access beyond e-mail must be requested by the Provost Office and Department Head. There will be a yearly renewal process for this access. This process will be coordinated by the HR retirement coordinator.

Students

Graduating Students (additional information)

  • All technology access is terminated at midnight on October 1 following the term of graduation. Access includes but is not limited to Novell account, NetStorage, StudentMail account, personal Webspace, Moodle, and Calvin portal.

Non-registered or dismissed students

  • All technology access is terminated 30 days following the dismissal date, drop date, or last registered term. Access includes but is not limited to Novell account, NetStorage, StudentMail account, personal Webspace, Moodle, and Calvin portal.
  • Students may request an official leave of absence from the Academic Services department for a specific academic term. An approved leave of absence will preserve your technology access. This can only be done through Academic Services (not CIT).

Admits

  • Once an admit withdraws from the admissions process, their technology access is terminated.
  • e-mail will NOT be forwarded.

Alumni

  • Alumni have access to the uKnight services through the Alumni Office.
  • All access to CIT accounts expires on October 1st following graduation. This includes but is not limited to Novell account, NetStorage, StudentMail account, personal Webspace, Moodle, and Calvin portal.
  • e-mail will NOT be forwarded.
