Admitted Students: How do I create my Calvin account?

Click to activate your Calvin account. You will need your Calvin ID number (on the label inside your admission folder).

Admitted Students: What does my Calvin account do?

During the admission process, your Calvin account gives you access to StudentMail and to the enrollment forms for housing, health insurance, accepting financial aid, etc. It is important to check your StudentMail because once you are accepted to Calvin, this is how the Admissions department and other offices will communicate with you.

Admitted Students: I am the parent of an admitted student. Can I setup my child's account or reset his/her passphrase?

CIT requires that students manage their own accounts and passphrase. We are not able to assist anyone but the individual student with resetting a passphrase. This is because access to some CIT services include access to information that is protected by federal laws such as FERPA and HIPAA. If your child needs assistance setting up his/her account or resetting the passphrase, please have him/her contact the HelpDesk by phone, e-mail, or in person and be ready to provide his/her birthdate, full name, and Calvin ID number (received in the mail, inside the admissions folder) or last for digits of the Social Security number (if applicable).

Students: What accounts are automatically available to me?

As a currently registered Calvin student, you have access to several accounts and IT services:

  • Novell - Your Novell login allows you logon to any Calvin computer and also provides you with access to personal storage space on Calvin's server.
  • StudentMail - This is your Calvin-issued Gmail account for e-mail access.
  • Calvin Portal - The Portal provides you access to services such as weekly schedule, book lists and book reservation, course catalog and registration, eDeals, financial statements, time card entry (for student employees), bike and vehicle registration, PIN and passphrase information, and much more!
  • Moodle - Moodle is Calvin's online Learning Management System (LMS). This is where you will have access to any online materials required for your academic coursework at Calvin.
  • Wired & wireless Internet - Calvin offers wired Internet connections for students living in the dorms and apartments and wireless connectivity campus wide.
  • WebPrint - You can use WebPrint to submit print jobs from your personal computer to several printers on-campus.
  • Print Quota - Each semester you will receive a credit towards printing expenses.

All of these accounts use your Calvin username and passphrase. Your Calvin username is given to you when you are first admitted to Calvin and cannot be changed (other than to reflect a legal name change). You can change an expired or forgotten passphrase at any time and will also be required to change your passphrase once a year for security.

Students: What do I do if I need additional access?

If you are a student employee or doing research, have your supervisor or professor request the access that you need. Additional access includes printing to department printers, accessing department "R" drives or Teams folders, and Colleague access.

Students: Can I access my accounts from off campus?

Yes. Since your StudentMail is a GMail account, you can access it from any computer with an Internet connection. The same is true for Moodle and the Calvin Portal. You can even access files stored on your Novell drive by using NetStorage.

Students: When will my access end?

After you graduate from Calvin, your student access will remain until October 1st. This is true whether you graduate in December or May. After the October 1st following your graduation, you will no longer have access to your Calvin e-mail, Moodle, Portal, Novell, etc.

If you leave Calvin and do not graduate, your access will remain for 30 days.

Graduates & Alumni: Do I get to keep any of my Calvin accounts?

No, after the October 1st following your graduation, your Calvin accounts and access will be removed (details). However there are some online services available to Calvin alumni:

Graduates & Alumni: Am I able to continue using CIT facilities and services?

The ITC computer lab on the bottom floor of the Hekman Library has several alumni workstations available. You may use these stations at no cost on a first come first serve basis. There is also printing available for a small charge.

Visiting Scholars: What accounts/access are availble to me and how do I request them?

If you are long term guest such as a visiting scholar and it is necessary to have access to CIT services (Novell login, printing, wireless, e-mail, network drives, etc), your supervisor or host should contact the HelpDesk at least a week in advance of your arrival date. We cannot guarantee that all such requests will be honored and may need approval from other departments such as the Provost Office, but the HelpDesk will serve as the original point of contact for assessing the needs visiting scholars.

If you simply need a visitor logon so that you can use Calvin computers, contact the HelpDesk and we will provide you with the login information.

Guests: Can I use the computers in Calvin's computer lab?

If you are a visiting scholar and need access to Calvin computers or other IT services, please have your supervisor or host contact the HelpDesk.

Other guests such as parents, visitors, or conference attendees do not have access to IT services or Calvin's computer lab facilities. There are a few public stations near the main entrance (second floor) of the Hekman Library. These stations are available for guest/public Internet use.

Guests: Is there wireless access for guests, visitors, or parents?

The Guest network is available for all visitors and guests. This network is available campus wide in neary all locations and requires authentication every 24 hours. Guests whose home institutions use eduroam may connect to the eduroam network here at Calvin. More information, connection instructions, and available locations

Guests: Am I able to print while on-campus?

There is no CIT-sponsored printing available to guests. You may check with the Hekman Library or Printing Services for other options.

If you are a long term visiting scholar, please have your supervisor or host contact the HelpDesk to inquire about printing options.

Faculty & Staff: What accounts are automatically available to me?

When you become an employee at Calvin, you automatically have a Calvin passphrase which gives you access to basic resources (payroll and web time entry services, directory information, campus events room usage information, service requests, and vehicle registration) and Moodle, Calvin's online Learning Management System (LMS).

Your supervisor or department chair is responsible for requesting all accounts and access beyond these basic resources. There are several other accounts and services available to you via request. Your supervisor/department chair should decide which are appropriate.

  • Novell GroupWise - e-mail, address book, and calendaring
  • Novell account - access to logon to any Calvin computer, access network drives and Teams folders, and access the Calvin portal.
  • Information systems such as Colleague or ImageNow

All of the accounts and services provided and supported by CIT use the same Calvin passphrase.

If you find that you need access to an additional service or higher level access than what you currently have, your supervisor or department chair should complete the appropriate web form. This will generate a work order with CIT.

Faculty & Staff: Can I access my accounts from off campus?

Yes!

You can access your e-mail in several ways:

Novell
There are two ways you can access Novell file servers from off campus:

  1. NetStorage can be used on any computer with an Internet connection. This web utility allows you to login via a web browser and access your Novell drives. This solution is easy and fast but is best if you just need to access one or a few files.
  2. If you are using a Calvin-owned PC or Mac, you can use the VPN service to connect your computer to Calvin's network and then map/mount your network drives as you would when you are on campus. This solution involves some initial setup and requires many more steps but is best if you need to do continuous work and access multiple files.

VPN Service
The VPN service allows you to remotely connect your Calvin-owned computer to Calvin's network even when you are not on campus. This connection is required if you are trying to use a web-based service that requires you to be on Calvin's network for security (Colleague, for example).

Supervisors: How do I request department printing access for my student worker?

Student workers should print all work-related materials to department printers. If the department printers do not have the functionality necessary (color, poster size, duplexing, etc), please arrange a print job through Printing Services.

Student workers should not use their personal printing quota for work-related printing. Any printing to "public" computers (lab, classroom, and WebPrint printers) will charge the print job against the student's quota. CIT has no ability to transfer these charges to the department. The best way for a student worker to ensure that they are not printing against their own quota is to make sure that the printer they've selected to print to says "...on FACSTF" and not "on PUB". If the printer name contains PUB then it is considered a "public" printer and will charge the student. CIT holds students repsonsible for reviewing their print quota on a regular basis and promptly reporting any discrepencies to the HelpDesk in a timely fashion.

If there is a special circumstance where a public/lab printer is the only option for a work-related print job, please contact the HelpDesk ahead of time and let us know the username of the student, the printer, and the name of the file he or she will be printing for work.

Faculty and staff automatically have access to all "FACSTF" printers but students do not. If you need your student worker(s) to have access to your department printers, please complete this additional access request form. It will automatically generate a work order within CIT and both you and the student worker will be notified when the access has been granted. Once access has been granted, the student worker may print to your departmental printers and install/reinstall them as necessary from our iPrint page.

Supervisors: How do I request W drive/web site access for my student worker?

If your student worker's duties include updating your department's web site, please complete this additional access request form to request web authoring access to WWW on Glacier\Web. It will automatically generate a work order within CIT and both you and the student worker will be notified when the access has been granted. The student will then see the "WWW (\\Glacier\Web) (R):" in the Computer window on his or her Calvin work computer after logging into Novell. As with faculty and staff, each department is responsible for maintaining their own web site.

You will need to setup a site definition on the student worker's computer in order to use DreamWeaver for web authoring.

You may request DreamWeaver for the student worker's computer if it is not already available.

Supervisors: How do I request R drive/department drive or Team folder access for my student worker?

Students automatically have their own Novell account and "H" drive.

Student workers do not automatically have any access to the Denali fileserver, including department drives and Team folders.

If your student worker needs access to a department drive, team folder, and/or other special network access, please complete this additional access request form. It will automatically generate a work order within CIT and both you and the student worker will be notified when the access has been granted. The student will then see the "DEPT (\\Denali) (R:)" in the Computer window on his or her Calvin work computer after logging into Novell. As with faculty and staff, student workers can only see the folders on Denali that they have been granted access to depending on what has been requested.

Supervisors: I got an e-mail asking me to request accounts for my new employee, what do I do?

When someone is new to working at Calvin, his or her supervisor needs to complete a "newcomer request form" in order to request the appropriate accounts and access the employee will need to do his or her job. Each employee has a supervisor listed in their records and this person will receive the automated e-mail regarding the account requests. If you receive this e-mail for someone you are not currently supervising, please contact Human Resources (staff) or the Provost Office (faculty).

Supervisors: How do I terminate special access or accounts for a former employee or student worker?

If you have a student worker that is no longer working for your or your department, please complete the remove access web form. This form will notify CIT that the student is no longer employed and CIT will remove the student's access to any department printers, web sites, and department drives or Teams folders associated with the student's employment in your department.
