Guidelines and Responsibilities

Each organization must:

  1. Seek to reflect the educational mission of the college and provide benefit to Calvin students or the campus as a whole. In addition, an organization's activities may, at times, be interesting or beneficial to the larger Grand Rapids community.
  2. Have at least twelve active members. The student organization's activity should be of potential benefit to the entire student body or to a large enough extent of the student body to justify the expenditure of money for activity.
  3. Meet the following criteria is it has a sport related focus:
    1. Must have a recreational focus. Competitive aspects of an organization must be limited to 10% of the organizations activities.
    2. Must have limited liability for the college, ensuring that no additional insurance coverage is needed.
    3. Must be in the purview of the student organizations advisor and not require the use of a coach.
  4. Welcome any interested Calvin student. In addition, faculty and staff may be invited to participate in the activities of a student organization.
  5. Complete the registration and chartering process each year.
  6. Report its operations and activities on a yearly basis to the student life committee through self evaluations and contact with coordinator of student organizations.
  7. Receive funding from the student allocations budget based on the SLC's approval of the organization's charter and a satisfactory annual evaluation.
  8. Provide at least one event per year open to the whole campus.

Responsibilities of student organization leaders:

  1. Set a vision for the organization and set goals for the year
  2. Select leaders for your organization
  3. Maintain the organization’s active presence on Calvin’s campus
  4. Create a hospitable environment fostering an acceptance and diversity of people, opinions and experiences
  5. Develop a relationship with your advisor that includes:
    • Setting expectations with your advisor
    • Regular meetings with your faculty/staff advisor
    • Consulting with your advisor before any changes in the structure of the group or policies of the organization are made
    • Remembering that the responsibility for the success or failure of the group's events rests ultimately with the group, not the advisor
    • Acknowledgeing and expressing the value of the advisor's time and energy
    • Notifying the advisor of all meetings, events and major projects. If an event or publication has the possibility of being perceived as inappropriate, the advisor should be consulted before the event is scheduled or publication produced
  6. Commit to regular communication with the coordinator of student organizations
    • Complete goal setting form in the Fall
    • Receive approval for sponsored events at least one week in advance using an event and activity form
    • Participate in a financial audit in November with the student organization finance committee.
    • Submit midyear self-evaluation
    • Meet with coordinator of student organizations in January or February
  7. Attend and evaluate designated number of Leadership Journey meetings
  8. Participate in Cokes and Clubs in the Fall, an event to recruit members as well as advertise your organization
  9. Maintain accurate financial records
  10. Maintain good academic standing and exercise good judgment consistent with the student conduct code
  11. Attend the presidential cookout at the end of the year.
